Project Background

Peritos and Pioneer Institute of Professional Studies have a history of working together. As a Microsoft Partner Peritos was chosen for the migration project work for AX to F&O system. The migration from Dynamics AX to Dynamics 365 Finance & Operations (F&O) is often driven by a need for enhanced functionality, cloud scalability, and better integration with other Microsoft services. Dynamics AX, although a robust ERP solution, lacks many of the modern features and cloud capabilities provided by Dynamics 365 F&O. Migrating to F&O offers businesses opportunities for real-time analytics, streamlined workflows, advanced AI capabilities, and improved flexibility for business processes.

Requirement

  • End of support for Dynamics AX: Customer was reaching end-of-life, prompting businesses to upgrade.
  • Desire to adopt cloud infrastructure: Dynamics 365 F&O offers cloud deployment and integration with other Microsoft Azure services and customer wanted to upgrade to the cloud
  • Scalability and Flexibility: Dynamics 365 offers modular solutions, meaning companies can scale specific modules to meet evolving business needs. Since they had a list of customizations so it was better to do with the newer implementation 
  • Seamless integration with Microsoft 365 and Power Platform (Power BI, Power Automate, etc.) for more connected, insightful business management.
  • Enhanced User Experience: F&O provides a more intuitive, web-based interface that improves user productivity and accessibility and also better uptime and lesser maintenance.

  • The new web-based interface in Dynamics 365 F&O can be unfamiliar to users accustomed to the Dynamics AX interface, potentially leading to resistance and slower productivity during the initial phase.
  • Legacy customizations in Dynamics AX might not be compatible with the new architecture and UI of Dynamics 365 F&O, requiring redesign or redevelopment.

  • Migrating large volumes of historical data while ensuring its integrity and compatibility with the new system can be complex and time-consuming.
    • Implement a phased approach to data migration, beginning with high-priority data, using tools like Azure Data Factory to ensure seamless data transfer and minimal disruption.

  • The new features and interface require comprehensive training for end-users to fully leverage the system, which can be time-consuming and resource-intensive.
    • Tailor training sessions to focus on the specific roles and responsibilities of different user groups to ensure effective learning and immediate application of the new UI.

  • Introducing a new system can create disruption, and without a solid change management strategy, it may lead to confusion and inefficiencies.

    • To address user adoption, offer detailed training sessions, workshops, and access to user guides for staff to become familiar with the new interface and features and supported them to learn in batches with targetted based user group.

Project Background- Online Attendance Management Software

Peritos and Pioneer Convent School got together to discuss about the online attendance management system so that teachers and parents can keep a track record of the presence of the students in every class during the lockdown period. The attendance tracking software seemed like a practical solution as all the data of the class schedule. timings and student’s attendance can be found in one place.

Requirement

IN the 1st phase of attendance tracking software, it was discussed to have the following requirements,

Teacher Mode:
• Design an app where a teacher can view the list of children assigned to them.
• Children will be attending multiple lectures each day and that can be tracked through online attendance management system.
• The teacher needs to check-in and out for each of the lectures.
• Ability to export attendance for each class or student

Student Mode/ Parent Mode:
• Student / Parent should be able to see the attendance
• Check the Goal vs Achieved attendance criteria
Backend would be done via mass upload at the Go live date by the admin to upload the schedule and timings for students and teachers.

Scope of the Online Attendance Management Software

With the current requirement discussed and finalized we agreed on the scope of work to implement the said features in a web app with a single sign on integration.

Alerts and notifications are configured in the attendance management system to notify if the budget is being exceeded.  Peritos being a cloud partner is managing the environment for the client keeping a close watch on the cost and finding ways to optimize the same

Code for the app is handed over to the client through Microsoft AppCenter. 

CI/CD is implemented to automatically add, build and deploy any code changes

• Students are able to see the list of subjects and timetable with the click of the mouse.
• Teachers are able to see the list of subjects , classes and students attendance and mark daily attendance
• Students are able to view the attendance % and the min attendance needed vs achieved
• On the go attendance marking and calculations updated
• Incorporate Holiday, class cancelled in the Min attendance calculations
• Quick setup with Dashboard view

Challenges of online attendance management system

• Getting the huge amount of data to incorporate and add to the online database, we took an online database migration tool and added AI ML logic to ensure the right data is sent to the right data view.

• Teacher training on how to mark the attendance as there were more than 200+ teachers who were onboarding around 50+ class schedules for 500+ students.

Challenges of online attendance management system

• After our 2 successful implementations we were mostly in control of how the app would work and the rollout process. However, there were some UI fixes and a new charting capability which was required to help make the reporting section of the app more user-friendly. We had a charting 3rd party component already implemented which did not suffice the requirement from the client side 

  • A new custom charting component was implemented to deliver as per client’s requirement.
  • Making the app work similar for the existing deployed solution in other groups as well.
  • We deployed the same build with the new features rolled out for other Pioneer Group companies using the same app.

Pioneer Public School got together with Peritos to discuss the struggles of maintaining attendance records in online classes during lockdown. Peritos instantly suggested the school attendance tracking app as it is easy to use and all the information is just a click away. Also, the school attendance tracking software will give the liberty of making the entire process of attendance, class schedule and timings transparent for students, teachers and even parents. Challenges

  • Getting the huge amount of data to incorporate and add to the online database. We took an online database migration tool and added AI ML logic to ensure we could do a quick sanity testing with some test cases to be sure the app works as expected. 
  • Since the students and teachers were both used to the manual way of working for managing the attendance it became a huge effort to train the entire lot.
    • The app we developed was simple enough to use so just with a 15 min basic tutorial and training the teacher and super users we were able to achieve this within an 8 working today time frame.

Challenges

  • Since this was the final implementation it was a clear instruction  from the management team to roll this out as quickly as possible and before the students had their examination in mind
    • We did a quick understanding from the students , teachers did adjustments as needed and this was our fastest roll out where in 1 month it was out for UAT testing

Project Background- Attendance Tracking App

Requirement was to manage the attendance online. Attendance was one of the criteria that decided if the student can be promoted to a higher ability batch. We discussed with the staekholders and they informed us to come up with a solution where the students, teachers and parents can see at a glance if the student is attending all classes which has a direct corelation with the students performance and helpng them decide the eligibility of the student if they secured the Minimum threshold of attending the classes. Now with the lectures already happening online this app would greatly assist in ensuring the attendance loop is closed fast with all parties have a digital record of the class attendance

Scope & Requirement

Teacher Mode:
• Design an app where a teacher can view the list of children assigned to them.
• Children will be attending multiple lectures each day.
• The teacher needs to check-in and check-out the students on each of the lectures.
• Ability to export attendance for each class or student
• Only allow marking attendance by Teacher and close the window to mark attendance after the class

Student Mode: 
• Student should be able to see the attendance
• Check the Goal vs Achieved attendance criteria

Challenges

• Client had a requirement to get the list of online attendee and show the duration how long they were on the call. This was helpful to tackle those students who just logged in and dropped off.

  • We implemented an online meeting invite scheduling from this system which created a TEAMS meeting link. All students and teachers had the link before the class was about to start and with the use of API we were able to get the list of attendes. The duration they attended is still not possible and for that we had a work around of the students having to do a gesture when attending the meeting at random times which helped to track the presence of students

Attendance Management System-Project Background

Peritos and Pioneer Institute of Professional Studies got together and discussed about the issues related to attendance management system for students and teachers during the Lockdown period when all classes and lectures were happening online. In order to effectively manage tracking the attendance and ensure there is visibility to both students, teachers and parents, it was decided to discuss the online and digital option to get the teachers and students to track and manage the attendance online. This was also decided to implement across all of the Pioneer Group of Schools and colleges after its 1st successful iteration.
