The network architecture for Microsoft Dynamics 365 is designed with security in mind, enabling users to remotely access the system only through secure channels such as VPN or conditional access policies, ensuring data protection and compliance. Also there was no connectivity from home as well to avoid any Breach of client confidential data

Cost Optimization 

Alerts and notifications are configured in the Azure Cost dashboard configured for client as well as cloudchkr tool. Peritos would send monthly license based invoice adding details and itemized information regarding the cost.

Cloudformation scripts for deploying data was used for managing the JavaScript and plugin based code 

Challenges of Migrating from Azure Dataverse to Azure Blob Storage

  • Data Structure Mismatch: Dataverse stores data in a relational format with rich metadata, relationships, and business logic, while Blob Storage is unstructured, requiring transformation and flattening of data.

  • Loss of Metadata & Relationships: Referential integrity, lookups, and entity relationships in Dataverse are not retained in Blob Storage unless explicitly rebuilt or documented.

  • Security Model Differences: Dataverse has a detailed role-based access control (RBAC) model; Blob Storage requires separate access controls like SAS tokens, RBAC, or shared access policies, which may require redesigning security.

  • To get access with the right level of information to be able to see the existing license and to share the quote for the same license takes some time. As we were not given the right access or permission to be able to see that. This was quickly resolved as we informed the client the right steps to delegate access to Peritos Support ID
  •  To ensure we do not reduce the count of licensing just for cost cutting as the service User to whom a license may be assigned would be using the license for running some apps that can be disrupted if licenses are removed. Hence taking it slow and taking an informed decision is helpful. Once deleted those accounts are difficult to get back
  • To explain to the client how to manage the cost more effectively and how to see the utilization reports.

  • Managed automatically by Microsoft. Business Central runs much faster with a focus on typical business scenarios and usage patterns. The experience in the browser is more responsive thanks to on-demand loading of page elements, server resources are optimized for fast user interaction, and the database has been tuned to handle more data and load it faster.

  • License cost varies for a Team and Essential license from 8 USD to 70 USD per month per user. We included a mix set of these 2 licenses for around 20 team members.

  • Get insight to the performance of your business activities through budgets, account schedules, and analysis views. using Fiscal Year, Trial Balance and Reports Per transaction, per customer and Vendor

    • Having a Key point of contact from the team and conducting multiple user sessions spread across different team member with the key users to enable them to carry out the business processes efficiently 
  • Migration of open balances had a lot of data issues which were not something Business central was able to handle by standard.  
    • Preparing for mock go live ahead of Go Live and agreeing on the correct way to handle the data inconsistencies in the system was done. 
    • Customization were done wherever needed example to update posted invoices for Vendor when the actual invoice came in as the client had already accounted for those invoices in the legacy system without recieving the invoice. 
  • Integration with store front to ensure that 1000s of orders could come in smoothly and they should be posted automatically as it comes from either Amazon or WooCommerce which already had a processing step automated 
    • We created sales order as the incoming document and a batch job for posting these sales order from the system automatically. If any issues it was shown on the job log as well as the order remained stuck which could be corrected via manual intervention by the client as needed.

Project Background

Requirement was to move to a more effective robust system that covers the core modules that Ultimation was looking for. Client needed a system which should be easy to use, manage and still carry all the required functionality that the current system offers and many more. Peritos helped to align the client’s requirement and mapping the same with the Business processes and Business central By Microsoft came as a natural and obvious choice for the system to migrate from. The current Legacy system being used was SAGE-50 on Premise version 

Requirement

  • In the initial phase of requirement Gathering we agreed on the core modules to map thier existing business processe
  •  Integration with Multiple Ecommerce Solutions like WooCommerce, Amazon
  • Taxation was a problematic area where the customer was manually adding the tax options 

Scope and Feature List

  • Implement the modules as per the requirement which was defined in Scoping
    • Sales – Sales Quote, Sales order, Invoices and Shipment
    • Purchasing – Purchase orders, Receipt and Invoices 
    • Banking Reconciliation

  • Decide on integration Scenarios via EBridge Connections  to create sales orders and then converting to invoices via batch

Challenges & Solutions

  • Migrating the master and Transactional data from Sage to Business central as data was not in an organized format when exported.
    • We developed an internal system where the data was transferred easily multiple times as we did a Mock Go live 2 times prior to actual go Live 
  • Key user Training to ensure a smooth GO Live and to ensure all business scenarios are captured
    • User training was divided into specific scenario sharing a checklist with the client to get sign off. Also shared the video recordings and User Guides 
  • Specific client scenarios in transfering the open balances example some invoices from Vendor Purchase order were added as placeholders while the actual invoice was yet to arrive
    • Customization was done to create a program which would allow to update the invoice number on the posted invoice transactions when the actual vendor invoice came in.

Next Phase

We are now looking at the next phase of the project which involves:

1. Ongoing Support and adding new features based on clients requirement for Customization or adding new standard feature to help manage the business process more effectively like automatic reconciliations , Invoice payment matching automation

2. We are in talks with the client to add another company to the business central instance which is part of the group company 

3. We are also working with the client to implement Warehouse Module which would help them have a more tighter control on the inventory movements.
