How to Create Sales Order

Sales order – From Quote

Sales Order can be created:
  1. Created from the new button on the sales Order tab
    1. Click on Sales > Sales Order > New Button
  2. Converted from a sales quote
  3. Copied from an existing sales Order
    1. Click on Sales > Sales Order > New Button
    2. click on Actions > Functions > Copy Document

Copy Sales order with same instructions to copy as seen in section 3.3.3 to enter the quote or order number from which we need to copy the order .

Check Number series for the order generated

If a sales order is created by converting a quote below number series logic would be followed

21Q > 21E

21S > 21M

21P > 21J

You can also manually type the sales order number:

General Tab

All information we fill like sales quote ->general tab and here customer name already filled and can check Posting or order date and can select contact using 3 dot with dropdown

Line item

Add Line item as an inventory item

Line item can be added for the order This can include one of the below

  • Adding Items from the Material Document
  • Adding G/L account items
  • Adding Comments
  • Adding Charge Items like Freight / Sales Restock charge/ Allowance etc.

IN this testing we would focus on creating an inventory item with some comment lines

Select the product type as GL and the GL code next to it.

Leave the tax code fields same as it is for now as tax would be handled by a separate extension package

Can Release the order once finalized and status will change

Do Posting Full Amount

When you have completed all the lines and entered all the information on the sales order, you can post it. This creates a shipment and an invoice.

When a sales order is posted, the customer’s account, the general ledger, and the item ledger entries are updated.

  • Click on posting and select Ship and invoice or both as suitable

After the sales order is posted for the full amount Invoice +Receipt we can now look at the posted sales invoice as seen in the section below

NOTE: When the sales Order is posted it is Converted to Order it is no longer visible. It would then be only seen as a posted sales invoice as seen in the next section.

Do Partial Shipment

Update “qty to ship” amount to the amount you want to ship

Posted sales invoice can be seen in the Posted document section navigate to posted invoices

Check Posting

Open the sales invoice and it would show the invoice. Now click on Actions > Navigate to find entries

A list of all GL accounts which are hit are going to be shown as below

Click on the No of entries column to see details of what account has been hit for GL entries.

Print

For Printing invoice select “Print/Send” -> click on “Print”

For Sending Email Click on Print/Send -> click on email, And then get below window, so can put email id and send email

Shipment

In the same posted document section you would be able to see the posted shipments

Posted invoice shipment document list shows up and click on any of the shipment number to see the posted shipments.

Click on Print / Send and it would option to allow you to save a print PDF or use your local printer to print the document
